Keeping Your Records Up To Date!

With such a great sport, likeminded people and a beautiful environment to explore, keeping your records up to date! is probably the last thing on your mind!

However as an Helm,  Instructor, Coach, Leader or Guide we know you understand the importance of keeping things up to date.

In this article we explore a few handy hints and tips to get the most our of your National Association Membership record and ensure it’s working for you!

Communication

Our inboxes can be busy places. However, if you’re not opted in to receive emails from your National Association, you will not be kept up to date:

  • Catch up with Coaching  – Monthly free bulletin, keeping you up to date.
  • Reminder emails – system emails that up date you on expiry dates.
  • Offers, updates and changes – periodic updates to keep you informed.

On this basis you should receive an email at least once a month.

To manage your communication settings please navigate to your membership platform as normal and log in.

a. Log in to your National Association record
Ensure you are in the basic details section of your record, clicking the update details button.

b. Update your email address
Update your email address and other record items, remember to click save!

Membership

Keeping your Membership up to date means, no interruption in:

  • Registration or Check In
  • Course Advertising
  • Processing Courses
  • Provider Look Ups

Your membership triggers a lot of your key services, benefits and your National Association being able to send you general communications.

Qualifications and Credentials

Your record will normally be kept up to date automatically, there is no need for your to send us copies of your qualifications or credentials. (Credentials is a generic term we use for Provider roles, training courses and records that expire (for example First Aid Training)).

However, if you’re checking your record and see something is missing there are two ways to add it to your record:

Coach Self Analysis Tool and Provider Resources.

a. Email a copy
If you want to, or your feel the situation is a little more complex you can email your Delivery Centre:

With a copy of the certificate and/or as much supporting information as you can, when, where, with who, etc. to help us track the course down.

b. Add it to your record yourself
By selecting Credentials or Qualifications, you will be able to see your current records and have the option of adding a record yourself. You will be able to add a scan or photo of the certificate, as well as some of the key details. This is reviewed by a member of the team at your National Association, before being added to your record.

Safeguarding

Anyone providing British Canoeing Awarding Body Training or Awards, Leaders and Coaches are required to have Safeguarding Training on their record, this training must be:

  • Relevant to the type of provision you are involved with.
  • Meet key Learning outcomes
  • Be updated or renewed when things change or as a minimum every 3 years

If your Safeguarding is not up to date, it will cause your course not to be advertised and listings on applications to be temporarily removed. It will also the delay the certification of your learners.

a. Checking your Safeguarding 
By selecting member details and coach update, you will be able to see your expiry dates in one place. At a glance, this allows you to see your development needs, as well as a quick snapshot of your CPD points.

Continuous Professional Development

Keeping your records up to date is not just about paperwork, it can also be about developing yourself, taking your coaching and or leadership forwards. If you’re looking for help choosing CPD, read: Choosing Appropriate CPD.

By undertaking regular development you ensure you’re giving your paddlers the best support.

Paddles Up Training Courses are a great way to develop;

  • Firstly our courses are recognised by British Canoeing Awarding Body for CPD purposes.
  • Secondly, your British Canoeing (SCA, CW, CANI) membership record will be updated with the CPD points.
  • You do not need to do anything extra!
  • All of our courses clearly indicate the number of points that will be added to your record.
  • Our courses range from 5, 10, 15 and 20 CPD points depending on the content, work involved and length of the course.

Meeting Your Commitment to CPD

When you gain a coaching or leadership qualification, you are committing to undertake appropriate CPD and to provide evidence of completion.

  • You need to provide evidence of 20 CPD points within each 3-year period.
  • In reality you may achieve many more, we would encourage you to see this as a minimum and not a target.

How Many Points do I have?

By going in to your profile you can quickly check your current tally of CPD points.

  • From the profile screen click member details

From the member details tab you can select coach update and see at a glance all of the elements of the update requirements, including a current tally of your CPD points.

How do I Submit a CPD Application?

If you have 20 or more points you do not need to do anything,  the system will update your CPD expiry at midnight on the day it is due to expire. If you do not have 20 points, you can submit an application either by using the Apply for CPD Extension Button or in the Azolve menu selecting the Registrations, APL & CPD tile.

Note: you can submit an application early however the start date of the next 3 year cycle will be the submission date not your current expiry date.

First Aid

Anyone providing British Canoeing Awarding Body Training or Awards, Leaders and Coaches are required to have First Aid Training on their record. This training must be:

  • Relevant to the type of provision you are involved with.
  • Meet key learning outcomes
  • Be updated or renewed when things change or as a minimum every 3 years

Your First Aid Training being out of date will cause your registration not to be approved, where relevant, course not to be advertised and listings on applications to be temporarily removed. It will also the delay the certification of your learners.
